- What exactly does the quote include — and exclude? Get it in writing
- GST included or on top? (18% surprise on lakhs hurts)
- Music/noise cut-off time? (10 PM outdoors in most cities)
- Hours included; overtime rate per hour
- Power backup capacity — can it run AC + sound + lighting together?
- Parking count + valet; is the venue accessible for elderly guests?
- Rooms on-site? Complimentary changing rooms for the couple?
- Rain/heat plan for outdoor spaces — at whose cost?
- How many events does the venue run per day? (Shared-lawn chaos is real)
- Decor restrictions: open flame, fireworks, ceiling drapes, nails?
- Payment schedule + cancellation/date-change policy in writing
- Who is the single point of contact on the day?

In-house vs outside catering
In-house: less coordination, fixed quality, usually mandatory at hotels. Outside allowed (farmhouses, banquet halls): more control and often better food-per-rupee, but add the royalty fee question above before celebrating the lower rental.
When to book
Peak-season (Nov–Feb) metro Saturdays: 10–12 months ahead. Everything else: 6–8 months. Visit at the same time of day as your event — a lawn at noon and at 8 PM are different venues.
FAQ
What share of budget should the venue take?
Venue + catering together: 40–45%. If a venue alone crosses 30%, the rest of the wedding gets squeezed.
Negotiable?
Almost always — especially on included extras (rooms, hours, decor basics) rather than headline price. Off-dates negotiate hardest.
How do guests find a hard-to-locate farmhouse?
Pin the exact gate on Google Maps and put the link on your wedding website with a landmark line ("entry from the service road, not the highway").
Walk the venue in the same conditions as your event
A noon site visit does not reveal evening traffic, banquet-hall acoustics or how dark the parking route feels. Visit near your planned event time when possible and record a continuous phone video from the entry gate to the ceremony area.
Check loading access separately from guest access. Decor trucks, generator vehicles and catering teams need routes that do not block arrivals or appear in photographs.
Turn every verbal promise into a line item
If a venue says outside vendors are allowed, write the names and fees into the contract. If it promises a backup lawn or hall, identify the exact space and decision deadline. If parking is complimentary, state the vehicle limit.
The contract should also define overtime, sound cut-off, power backup, cancellation, rescheduling and the payment schedule. Ambiguity is expensive on peak dates.
